The Peace and Sport International Forum 2012 in Sochi will take place in the prestigious Grand Hotel Polyana (GHP) located in the mountains, 45 km inland from the airport. The average travel time from the airport to the GHP is estimated at 60 minutes.

Grand Hotel Polyana
Prices range from 8100 Rub for a deluxe single and 9600 Rub for a deluxe double room to 18810 Rub for a single suite and 20250 Rub for a double suite.
Step 1 – On the top left side of the booking platform, please fill-in your Arrival and Departure dates, specify the number of adults and click on “Special Offers”.
Step 2 – Four new text boxes should appear. Please enter, PEACE2012 in the second text box, entitled “Block Code” and press “Check Availability”.
Step 3 – Please choose a room and press “Book” to proceed. Follow instructions and fill in all required fields: provide guest information+ review reservation + reservation confirmation + cancel/change reservation.
Prices range from 5500 Rub for a single deluxe room and 7000 Rub for a double room to 9600 Rub for a single two-level suite and 11100 Rub for a double two-level suite.

Visa support information for the Peace and Sport International Forum
After registering on the Peace and Sport website, please send a request for an official invitation from Russia to forum@peace-sport.org.
Please check the set of additional documents required by the Russian consulate in your country of residence for applying to a Russian visa through the simplified process established for the event. The Peace and Sport Team will send you the official personalised invitation letter signed by Mr. Stepanov, Director General of ANO “Russia-the country of Sports”, required by the Russian authorities.
Having collected all the documents required, including the personalised invitation, bring them to the Russian Consulate.
Nota Bene: Russian consulates will open the simplified process starting from September 15th, 2012.
Please note that this is a simplified process. If you use the services of agents (visa agencies, travel companies and other organizations) you might bear additional expenses and be required additional documents.

Mini-vans and other vehicles will be organized for the Forum delegates in order to ensure the transportation to and from the airport.

Catering: all meals included in the program (Cocktail Receptions, Welcome Dinner, Gala Dinner and working lunches).
Transportation: from arrival at Sochi Airport to departure from Sochi Airport, transport to and from the conference venue and all travel included in the program is provided as part of the package. (In order to guarantee this, you need to communicate your travel details to the organizers as soon as you have them.)
Regular shuttle services will also be provided between the Forum venue and partner hotels.

You need to provide proof that your organization’s status is officially recognized by relevant authorities to benefit from our NGO package. This package is offered at a reduced rate of 200€ and is available to field-based NGOs, registered charities, associations and youth clubs working at a grassroots level through local action.We encourage such organizations to come and share their first-hand experience of the reality on the ground with other Forum delegates.
A reduced-rate partner/spouse package is provided. It includes Forum + Catering and costs 400€. In terms of accommodation, the difference between the cost of a single and a double room is minimal. Partner hotels are able to provide further information regarding costs, facilities etc. upon request. Once you have registered you will be able to directly contact the hotel with any queries.
Free shuttle services will be provided for delegates from Sochi Airport to the venue and partner hotels. In order to guarantee this, make sure you communicate your travel details to the organizers as soon as you have them. Upon arrival at Sochi Airport, a volunteer from the Peace and Sport Meet&Greet desk (located at the baggage claim) will inform you of the place and time of the next shuttle departure. The journey to the Grand Hotel Polyana, where the conference will be held, takes about 60 minutes.
